Currently, we are looking for an entry level, part-time (16hrs/wk - Monday & Tuesday, 7am - 4pm) Payroll Coordinator to join our Payroll Team in our Roseville, CA office.

Job Title: Payroll Coordinator

Reports To: Payroll Manager

Summary:

The Payroll Coordinator is responsible for collecting, formatting, retaining, entering and tracking timesheets from clinicians and recruiters and then organizing by Managed Service Provider (MSP) for individual Payroll Analysts to review. The Payroll Coordinator is also expected to update and maintain accuracy of various reports and databases to provide the most updated information to Recruiters. This person will also perform frequent audits of timecards, payroll reports, contracts, HR clearance, etc. and create/adjust invoices for Payroll Team.

Essential Functions:

Collect, save and track incoming clinicians’ timecards.
Update the On-Contract Report (OCR) frequently with correct status of timesheets.
Track and send missing timecards as well as sending out OCR to recruiters.
Various audits of payroll, and contractor pay information.
Assist in communicating with Recruiters to obtain missing timecards.
Send weekly timesheets to various facilities.
Perform frequent audits of payroll prior to processing to ensure accuracy.
Update employee information, such as payroll schedule, new contracts, and contract revisions in QuickBooks.
Review contractor confirmations for deficiencies and work with recruiters to make necessary changes.
Track any contractors not cleared through HR to start or be paid; communicate to payroll analysts and work with HR and recruiters to resolve.
Maintain contractor Reference Sheet by making appropriate changes for new contracts, deleting and modifying old contracts, and maintaining revisions for current contracts.
Create invoices for current payroll week and previously non-billable hours from past payroll weeks.
Accurately input contractor weekly hours into vendor time-management system while adhering to strict vendor deadlines.
Audit invoices for current payroll week and make corrections to invoices for Payroll Analysts when adjustments are made.
Cross train with other Payroll Coordinators and other members of Payroll Team to provide back-up coverage as needed.
Other duties as assigned.

Competency:

Have a college degree or relevant experience.
Experience in Accounting/Payroll preferred but can be substituted for experience in a Coordinator role of similar complexity.
Data entry skills along with an aptitude for numbers.
High level of customer service skills.
Possess strong written and oral English communication skills.
Strong ability to multi-task and shift gears as business dictates.
Possess strong organization skills and be very detail oriented.
High degree of accuracy.
Ability to work collaboratively with all departments as well as function independently with minimal supervision.
Be flexible, adaptable and approachable.
Possess great business judgement.
Takes initiative.
High self-confidence and strong work ethic.
Ability to thrive under pressure and meet deadlines.
Be proficient, at minimum with Microsoft Office, especially Excel. Payroll system and/or QuickBooks experience preferred.
