Position: Administrative Assistant Construction
Location: Sacramento
Hours: Full Time / Monday through Friday, 8:00a.m. - 4:30p.m.

The Opportunity: The Administrative Assistant is responsible for handling the workload of a busy construction office. The person in this position must possess outstanding customer service skills along with providing administrative support to ensure efficient operation of the office. This position supports managers and employees through a variety of tasks related to organization, communication and assisting with phones.

Primary Responsibilities:

* Preparation of regularly scheduled reports
* Process vouchers and change orders
* Assist with qualifying and scheduling subcontractors
* Review time tickets for accuracy and assign to specific jobs
* Assist Project Managers as needed with scheduling, documentation and organization projects
* Review and process expenses submitted by the construction crew
* Develop and maintain a filing system
* Maintain inventory of project binders and customized forms
* Excellence in customer service
* Assist with phone calls and direct calls accordingly
* Organize and schedule meetings and appointments
* Data entry for multiple managers
* Produce and distribute correspondence memos, letters, faxes and forms

Skills and Experience Requirements:

* 2 years administrative experience
* Construction and/or restoration experience preferred
* Excellent communication skills; strong verbal, written and phone communication
* Strong typing and computer skills; including Microsoft Word, Excel, PowerPoint, Outlook
* Strong organization and time management skills; ability to manage multiple projects in a fast-paced
* Ability to work both independently and as a team
* Ability in problem-solving and strong sense of urgency with attention to detail
* Must be able to pass a background check
* Must have a valid CA Driver's License
* High School Diploma or equivalent
